You work in Human Resources for an organization that hosts off-site team meetings to welcome new employees each quarter as part of the onboarding process. The organization has a policy of employees sharing hotel rooms to cut down on costs. Carol has been with the organization for two months and has been invited to this team meeting. She reaches out to you with concerns about this policy. She uses a wheelchair and does not want to navigate showering and changing in the room with a coworker, because it is difficult to complete the activities fully in the small hotel bathrooms. She is also feeling embarrassed to ask about this because she does not want anyone to think she is not a team player or that she is not concerned about the company spending. Please respond to Carol to explain what options you would suggest for her and how you might communicate this to the team booking rooms while maintaining confidentiality. You need to be sensitive to her privacy and to how others might perceive any special accommodations.
